Why do we collect personal information?

Aerocom does not generally collect personal information on the website. However, when users complete the ‘contact us’ or ‘quick contact’ forms, they may voluntarily provide information deemed personal which is then used to contact the user or provide them with information that they have requested. This personal information may also be used for marketing or sales purposes. Aerocom commits to collect, use and communicate this information while respecting this policy and applicable laws.

Users (customers) are also invited to complete surveys to determine customer satisfaction levels which may be collected and tallied through a 3rd party platform. Aerocom does not assume any responsibility regarding the privacy practices or content of third-party websites.

Job application personal information is collected so that a review of qualifications and abilities can be performed. It is shared with those employees involved in the hiring process in order to perform interviews and evaluations for hiring purposes. If hired, the information will then be used to create their employee and payroll file along with other employment files.

Where is my personal information located?

Personal information is processed at Aerocom’s operating offices and in any other places where the parties involved in the processing are located.

Personal information gathered through our website is processed on third-party servers/platforms (such as Google Analytics, Sogolytics.com and hosting company) and through our IT network. Several of these servers are owned and operated by third-parties which have their own encryption and password protected procedures and policies.

Your personal information collected for job applications or once you are hired as an employee is kept in the Aerocom offices (Kirkland, QC or Ontario office), separate from corporate documents, under lock and key or stored on the president’s laptop. Electronic Data (in accounting software) is protected by passwords and encryption which is only accessible to authorized personnel. Only authorized personnel, on a need-to-know basis, have access to paper format personal information. Personal information may also have to be provided to the relevant government agencies, to accountants (third-parties) or other third-parties which provide services (such as insurance companies) in order to complete the payroll processes or other employment processes.

How long do you retain the information?

Unless specified otherwise in this document, personal information shall be processed and stored for as long as required by the purpose they have been collected for and may be retained for longer due to applicable legal obligation or based on the users’ consent. When Aerocom destroys personal information, it will use appropriate safeguards to prevent unauthorized collection, use or disclosure.

How do I request corrections, updates or withdraw my consent to my personal information?

If someone wishes to withdraw consent, provide a correction to or an update regarding personal information, they must contact Aerocom’s Privacy Officer in writing with sufficient details to be able to locate the person’s personal information. Individuals will be asked to confirm their identity prior to any changes.

How do I lodge a complaint or challenge the compliance to this policy?

Upon receipt of a complaint or enquiry from an individual concerning the collection, use or disclosure of their personal information, Aerocom will respond in a timely manner (within 30 days) and will review all such complaints or enquiries. If the complaint is valid, Aerocom will take appropriate measures to resolve the complaint, including, if necessary, amending its policies and procedures. Relevant authorities will also be contacted (Commission d’accès à l’information du Québec (CAI)) as required. If a confidentiality incident is reported, then the Aerocom incident response plan will be put into action.

What happens to my personal information with regards to legal action or public authority requests?

The personal information collected on the website or through other means may be used for legal purposes by Aerocom in court or in the stages leading to possible legal action arising from improper use of the Aerocom website or the related services. The User declares to be aware that Aerocom may be required to reveal personal data upon request of public authorities.
